Booking Terms and Conditions

These Booking Terms and Conditions apply to appointments, treatments, packages and gift cards provided by Nu-Clear at our facial studio in Cheltenham.

Throughout these terms, “Nu-Clear”, “we”, “us” and “our” refer to [INSERT FULL LEGAL BUSINESS NAME], trading as Nu-Clear. “You”, “your” and “guest” refer to the person booking, purchasing or receiving the treatment.

By booking an appointment, purchasing a treatment, package or gift card, or attending the studio, you confirm that you have read and agreed to these terms.

1. Booking an Appointment

Appointments can be booked through our online booking system or directly with the studio.

Your appointment is not confirmed until you receive a booking confirmation from us. It is your responsibility to check that the treatment, date, time and contact details shown in the confirmation are correct.

You must provide accurate and up-to-date information when making a booking.

Where a treatment is booked for someone else, the person receiving the treatment must also agree to these terms and complete any required consultation or consent forms.

2. Card Details and Payment

A valid payment card will be required to secure your appointment.

Your card details are processed and stored securely by our third-party payment and booking providers. Nu-Clear does not directly store your full payment-card information.

By booking an appointment, you authorise us to charge the card held securely on your account for:

  • The agreed treatment price

  • An applicable cancellation or rescheduling charge

  • A missed appointment or no-show charge

  • Products or services you have expressly agreed to purchase

  • An outstanding balance relating to your appointment

We will not charge your card for additional products or services without your permission.

Unless otherwise stated, treatment fees are payable at the studio following your appointment. We may require advance payment or a deposit for certain treatments, courses, packages or appointments.

3. Prices

Our current treatment prices are displayed on our website and online booking system.

Prices may change from time to time. Any price change will not normally affect an appointment that has already been confirmed unless:

  • You change the treatment booked

  • Additional treatment time or services are requested and agreed

  • The original price was displayed incorrectly because of an obvious technical or administrative error

  • We have contacted you and you have agreed to the revised price

Any optional additions will be explained and agreed before they are provided.

4. Cancellations and Rescheduling

To cancel or reschedule your appointment, we require at least five days’ notice before the scheduled appointment time.

Our cancellation policy is:

  • Cancellations or rescheduling with less than five days’ notice will incur a fee equal to 50% of the booked service price

  • Cancellations made within 24 hours of the appointment will incur a fee equal to 100% of the booking value

  • Failure to attend your appointment without notice will incur a fee equal to 100% of the booking value

Where applicable, the cancellation fee may be charged to the payment card held securely on your booking account.

Appointments are reserved specifically for you. Late cancellations and changes leave us with limited opportunity to offer the appointment to another guest.

We understand that genuine emergencies can occur. Any decision to reduce or waive a cancellation fee will be considered individually and is not guaranteed.

Repeated cancellations or rescheduling may result in full advance payment being required for future appointments or disabling of an online booking option for your account. In some cases, a refusal to allow further bookings/appointments.

Booking Reminder

Please note: as set out in our Booking Terms and Conditions, you may incur a cancellation fee if your appointment is cancelled or rescheduled with less than five days’ notice.

Appointments should be cancelled or rescheduled through the online booking portal wherever possible.

A request is only considered complete once it has been successfully submitted through the booking system or acknowledged by us.

Messages sent through Instagram or other social-media platforms should not be relied upon for time-sensitive cancellations.

If you experience a genuine technical issue with the booking system, please contact us at info@nu-clear.uk as soon as possible.

You will receive booking reminders via the email held on file, however we encourage you to diarise your appointment time/date to avoid confusion on the day.

5. Illness and Exceptional Circumstances

Please do not attend the studio if you have symptoms of a contagious illness, an active infection or a condition that could place the practitioner or other guests at risk.

We understand that emergencies and exceptional circumstances can occur. Any decision to reduce or waive a cancellation fee will be considered individually and is not guaranteed.

We may request reasonable supporting information where an exception is requested.

A previous waiver does not remove or alter the cancellation policy for future appointments.

6. Late Arrivals

Please arrive on time for your appointment (5-7 minutes prior). This offer ample time for you to use the restroom, have water and update us if any changes have occurred since your last visit.

If you arrive late, we may need to shorten your treatment so that the following guest is not inconvenienced. The full treatment price will remain payable.

If there is insufficient time to carry out the treatment safely or effectively, the appointment may need to be cancelled or rescheduled. This may be treated as a late cancellation and the relevant charge may apply.

Please contact us as soon as possible if you believe you will be late.

7. Consultation and Treatment Suitability

All treatments are subject to consultation and suitability assessment.

You must provide complete and accurate information about anything that may affect your treatment, including:

  • Medical conditions

  • Allergies and sensitivities

  • Pregnancy or breastfeeding

  • Prescription and non-prescription medication

  • Topical skincare products

  • Recent cosmetic, aesthetic or medical procedures

  • Active skin conditions, infections or injuries

  • Recent sun exposure or tanning

  • Previous adverse reactions to skincare products or treatments

You must tell us if any of this information changes before a future appointment.

Withholding relevant information may increase the risk of an adverse reaction and may prevent us from carrying out your treatment safely.

8. Consultation and Consent Forms

You may be required to complete or update a consultation and consent form before treatment.

Treatment cannot proceed unless the required forms have been completed accurately and we are satisfied that it is appropriate to continue.

Your consent to one treatment does not automatically constitute consent to a different treatment or to all future treatments.

You may withdraw your consent before or during treatment. You will remain responsible for any services already provided and for charges that reasonably arise under these terms.

9. Refusal, Adaptation or Postponement of Treatment

We may refuse, adapt, stop or postpone a treatment where we reasonably believe that:

  • The treatment would be unsafe or unsuitable

  • A contraindication is present

  • Your skin is compromised, infected, sunburnt or excessively irritated

  • Required preparation has not been followed

  • Relevant medical or treatment information has not been provided

  • Your expectations cannot reasonably or safely be met

  • Additional medical advice or clearance is required

  • Continuing would not be in your best interests

Where treatment cannot proceed because preparation instructions were not followed or relevant information was not disclosed, the appointment may be treated as a late cancellation and the applicable fee may be charged.

Where treatment cannot proceed for a reason outside your reasonable control, we will consider the circumstances fairly.

10. Treatment Results and Reactions

Skin responds differently from person to person. We cannot guarantee a particular outcome or an exact timeframe for results.

Some treatments require a course of sessions and appropriate home care to achieve the intended outcome.

Temporary effects can occur following facial treatments, chemical peels, microneedling and other advanced procedures. Depending on the treatment and your individual skin response, these may include:

  • Redness

  • Warmth

  • Sensitivity

  • Dryness or tightness

  • Flaking or peeling

  • Temporary swelling

  • Tenderness

  • Bruising or pinpoint bleeding

  • Temporary congestion or purging

  • Irritation or an unexpected reaction

You should contact us promptly if you experience a reaction that is severe, unexpected, worsening or causing concern.

Our treatments are not a substitute for medical assessment, diagnosis or treatment.

11. Preparation and Aftercare

You are responsible for reading and following the preparation and aftercare instructions relevant to your treatment.

These are available on our website and may also be provided by email or during your appointment.

Following professional guidance is important for supporting recovery, protecting your skin and reducing the likelihood of irritation, infection, pigmentation changes or other complications.

If preparation or aftercare guidance is not followed, treatment results may be affected and the risk of an adverse reaction may increase.

Please contact us before using an unfamiliar skincare product or receiving another treatment on the area if you are uncertain about its suitability following your session.

12. Treatment Packages and Courses

Treatment packages and courses are subject to the terms shown at the time of purchase.

Unless otherwise stated:

  • Packages are personal to the named guest and cannot be transferred to another person

  • Packages cannot be exchanged for cash

  • All sessions must be booked and completed before the package expiry date

  • Package expiry dates cannot be extended

  • Unused sessions remaining after the expiry date will be forfeited

  • Our standard cancellation and rescheduling policy applies to all package appointments

  • Where a cancellation fee is due, the relevant session may be deducted from the package

  • Purchasing a package does not guarantee the availability of a particular date, time or appointment slot

The validity period will be shown when the package is purchased.

We strongly recommend booking all sessions as early as possible to secure suitable appointment times and ensure that the course is completed before expiry.

Where a treatment is no longer considered appropriate for your skin, we may discuss a suitable alternative at our discretion. This does not guarantee that a package can be refunded, transferred or extended.

Nothing in this section affects your statutory consumer rights.

13. Memberships

All Nu-Clear memberships are subject to separate Membership Terms and Conditions, including provisions relating to:

  • Membership payments

  • Treatment credits

  • Booking and appointment availability

  • Credit validity and expiry

  • Membership benefits

  • Membership freezes

  • Cancellation and termination

By purchasing or using a membership, you agree to the separate membership terms.

Where there is any conflict between these general Booking Terms and Conditions and the separate Membership Terms and Conditions, the membership-specific terms will apply to the membership.

Appointments booked using a membership credit remain subject to our studio cancellation and rescheduling policy.

Where a cancellation charge applies, the relevant membership credit may be deducted or the applicable fee may be charged in accordance with the Membership Terms and Conditions.

14. Gift Cards

Nu-Clear gift cards are valid for six months from the date of purchase, unless a different validity period is clearly stated at the time of purchase.

Gift cards must be redeemed and the appointment attended before the expiry date.

Making a booking before expiry does not extend the validity of the gift card where the appointment itself falls after the expiry date.

Expired gift cards:

  • Cannot be redeemed

  • Cannot be applied retrospectively to a treatment

  • Cannot be exchanged for cash

  • Cannot be extended or reinstated

  • Cannot be used as part-payment after expiry

We encourage gift-card recipients to book their treatment as soon as possible.

Appointment availability can be limited, particularly during busy periods, and an approaching expiry date does not guarantee that a suitable appointment will remain available.

Gift cards are subject to our normal booking, cancellation and rescheduling policy.

Where a guest cancels late or fails to attend an appointment booked using a gift card, the applicable cancellation fee may be deducted from the gift-card balance.

If the remaining gift-card balance is insufficient to cover the applicable cancellation charge, the outstanding amount may be charged separately.

Gift cards are the responsibility of the purchaser and recipient.

Nu-Clear is not responsible for lost, deleted or incorrectly supplied gift-card details, although we will make reasonable efforts to locate a purchase where sufficient information is provided.

Gift cards cannot be resold or transferred for commercial purposes.

Nothing in this section affects your statutory consumer rights.

15. Promotional Offers and Discount Codes

Promotional codes, introductory offers and special promotions are subject to any additional terms stated when the offer is issued.

Unless otherwise stated:

  • Promotional offers cannot be combined

  • Promotional codes must be entered or mentioned before payment

  • Offers have no cash value

  • Offers apply only to the treatments, dates, practitioners or guests specified

  • Expired promotional offers cannot be retrospectively applied

  • Offers cannot be applied to gift-card purchases

  • Offers cannot be exchanged for another treatment or service

We reserve the right to withdraw or amend a promotion where reasonably necessary. Any confirmed booking already made in accordance with the offer will normally be honoured.

16. Appointments Booked Online

Bookings made online may be subject to statutory cancellation rights in certain circumstances.

Nothing in these terms limits or removes any rights you have under applicable consumer law.

Where you request a service or appointment to begin during a statutory cancellation period, you may be asked to expressly request early performance of the service and acknowledge how this may affect your cancellation rights.

Once a service has been fully performed at your request, your statutory right to cancel that completed service may no longer apply.

17. Appointments for Guests Under 18

Guests under the age of 18 must contact us before booking.

Some treatments may not be available to minors.

Where treatment is considered appropriate, we may require:

  • Consent from a parent or legal guardian

  • The parent or guardian to attend the consultation

  • The parent or guardian to remain present during treatment

  • Additional medical information or professional clearance

We reserve the right to decline treatment where we do not consider it suitable or appropriate.

18. Behaviour and Studio Conduct

We are committed to providing a safe, professional and respectful environment.

Abusive, threatening, discriminatory, intimidating, sexually inappropriate or otherwise unacceptable behaviour towards practitioners, guests or neighbouring businesses will not be tolerated.

We may immediately stop a treatment and ask you to leave where such behaviour occurs.

The full treatment price may remain payable where an appointment is terminated because of your behaviour.

Serious or repeated incidents may result in future bookings being declined or your booking account being restricted or closed.

Nothing in this section permits unlawful discrimination. Any decision to refuse service will be based on legitimate safety, conduct, suitability or operational considerations.

Noise awareness: We foster a peaceful environment, please keep noise levels to a minimum. No phone calls at the studio, all music/media if played, please use headphones if needed. Be respectful of other clients time and service.

19. Personal Belongings

Please take reasonable care of your belongings while visiting the studio.

We are not responsible for loss of or damage to personal belongings unless caused by our negligence or where liability cannot legally be excluded.

20. Photography

We will not take or use identifiable photographs or videos of you for marketing purposes without your permission.

Clinical or treatment photographs may be recommended for consultation, record-keeping or monitoring progress.

The purpose of these photographs will be explained, and they will be handled in accordance with our Privacy Policy.

Consent to treatment photography does not automatically include consent for marketing, website or social-media use.

21. Personal and Health Information

We collect and use personal information to manage bookings, communicate with you and provide treatments safely.

Treatment records may include health and medical information.

Information about how we collect, use, retain and protect your information is set out in our Privacy Policy.

You are responsible for ensuring that the contact information held on your booking account remains accurate and up to date.

22. Appointment Communications

By making a booking, you agree that we may contact you with information necessary to manage your appointment, including:

  • Booking confirmations

  • Appointment reminders

  • Consultation and consent forms

  • Payment requests or notices

  • Preparation instructions

  • Treatment aftercare

  • Information about changes to your booking

Transactional appointment communications are separate from marketing communications.

We will only send marketing messages in accordance with applicable law and your communication preferences.

23. Cancellations by Nu-Clear

Occasionally, we may need to change or cancel an appointment because of illness, equipment failure, building issues, an emergency or circumstances outside our reasonable control.

We will give as much notice as reasonably possible and offer to reschedule the appointment.

Where we cancel an appointment and you have paid in advance, you may choose either:

  • To transfer the payment to a replacement appointment

  • To receive a refund for the treatment we were unable to provide

We are not responsible for indirect losses or expenses such as travel, accommodation, childcare or loss of earnings, unless liability cannot legally be excluded.

24. Limitation of Liability

Nothing in these terms excludes or limits liability where doing so would be unlawful, including liability for:

  • Death or personal injury caused by negligence

  • Fraud or fraudulent misrepresentation

  • Breach of statutory consumer rights

  • Any other liability that cannot legally be excluded

Subject to the above, we are not responsible for loss arising from:

  • Inaccurate, incomplete or withheld information

  • Failure to follow treatment preparation or aftercare advice

  • Use of products or treatments against our advice

  • An individual skin response that could not reasonably have been predicted

  • Circumstances outside our reasonable control

25. Complaints and Treatment Concerns

We want you to feel confident raising any concern with us.

Please contact us as soon as possible at info@nu-clear.uk, providing:

  • Your name

  • The date and type of treatment

  • An explanation of your concern

  • Relevant photographs or information, where appropriate

We will acknowledge and review your concern fairly and may ask you to attend the studio so we can assess your skin in person.

Please avoid applying new products, receiving another professional treatment or attempting to correct the issue yourself before speaking with us, unless urgent medical treatment is required.

If you believe you are experiencing a medical emergency, seek appropriate medical assistance immediately.

26. Website and Treatment Information

Information provided on our website, social-media accounts or in general communications is for educational and informational purposes.

It is not intended to replace personalised professional advice, medical assessment or diagnosis.

Treatment descriptions represent the general nature of a service.

The exact products, techniques and technologies used may be adapted according to suitability, product availability and your skin’s needs on the day.

27. Changes to These Terms

We may update these terms from time to time to reflect changes to our services, policies, systems or legal obligations.

The version applying to your appointment will normally be the version available when the booking is made, unless a change is required by law or agreed with you.

The current version will be available on our website.

28. Severability

If any part of these terms is found to be invalid or unenforceable, the remaining terms will continue to apply.

29. Governing Law

These terms are governed by the laws of England and Wales.

You may bring legal proceedings in the courts applicable under UK consumer law.

30. Your Statutory Rights

Nothing in these terms affects your statutory rights as a consumer.

31. Studio Etiquette and Accompanying Guests

Nu-Clear is a small, appointment-only studio, and we aim to maintain a calm, quiet and professional environment for everyone receiving a treatment.

Unless agreed with us in advance, only the person receiving the treatment should attend the appointment.

Friends, partners or other accompanying guests cannot usually wait in the reception area or treatment room. This helps us protect guest privacy, minimise noise and disruption, and maintain a relaxing environment throughout the studio.

Please keep mobile phones on silent and be considerate of other treatments taking place.

32. Children, Babies and Pets

Babies and Children

As much as we love little guests — and who doesn’t love babies? — Nu-Clear is generally a child-free studio.

This helps us manage noise and disruption for other guests and allows you to relax fully during your treatment.

If childcare unexpectedly falls through, children aged eight years or over may accompany you, provided that:

  • You contact us before arriving

  • They remain with you inside the treatment room throughout the appointment

  • They are able to sit quietly without interrupting the treatment

  • Their presence does not affect the safety or comfort of other guests

Children under the age of 14 must not be left unattended in the reception area at any time.

For safety reasons, babies and children under eight cannot usually be accommodated during treatments. If you arrive with a child we are unable to safely accommodate, your appointment may need to be rescheduled and the relevant cancellation fee may apply.

Dogs and Other Pets

As much as we love dogs, we cannot accommodate pets in our treatment rooms.

Our treatment rooms are hygienic working environments, and we must also consider guests who may have allergies or sensitivities to pet hair and dander.

Please leave the doggos at home.

This restriction does not apply to assistance dogs. Please contact us before your appointment so that we can make suitable arrangements.

Accessibility and Mobility Requirements

Nu-Clear is located on the lower-ground floor and is accessed by stairs. There is currently no step-free access or lift available.

Guests must be able to safely:

  • Travel up and down the stairs to enter and leave the studio

  • Get onto and off the treatment bed

  • Reposition themselves during the appointment where required

For the safety of both guests and practitioners, Nu-Clear staff cannot lift, carry or provide physical weight-bearing support to help a guest use the stairs or transfer onto or off the treatment bed.

If you require physical assistance, we may ask you to attend with a trusted companion who is able to provide the support you need. This must be discussed and agreed with us before your appointment.

Where a companion attends specifically to assist you, they may remain nearby or in the treatment room where appropriate. Their presence must not compromise treatment safety, hygiene, privacy or the comfort of other guests.

We want to make our services as accessible as reasonably possible. If you have a disability, mobility requirement or other access need, please contact us before booking or attending so that we can discuss:

  • The studio access arrangements

  • Your ability to use the treatment bed safely

  • Any reasonable adjustments we may be able to make

  • Whether a companion will need to attend

  • Whether the treatment and studio environment are suitable for your needs

Although we will consider reasonable adjustments wherever possible, some appointments may not be able to proceed where we cannot provide the treatment safely within the physical limitations of the premises or without creating an unacceptable manual-handling risk.

Please do not arrive expecting the practitioner to provide lifting or transfer assistance that has not been discussed and agreed in advance.
